Registration Policies

Cancellations, Substitutions, Downgrades & Upgrades

If you need to cancel your conference registration, you may do so for a full refund, less a EUR175 service charge until Monday, July 23, 2010. Attendees who register prior to or after the deadline date, who do not cancel in writing by the deadline date are liable for the pass cost and will be charged for the full registration fee. Sorry, no refunds are available for no-shows. If you are unable to attend the event, we recommend that you send a substitution in your place. Changes to registrations must be presented in written form. Please download the Registration Change Form and fax your cancellation, changes or substitution request to +1 (415) 947-6011, or mail your request to:

Written requests for a downgraded pass must be received no later than Monday, July 23, 2010 for a full refund on the difference of registration fees between the value of the original and downgraded pass. Sorry, requests received after July 23, 2010 cannot be accommodated. Upgrade pass requests must be submitted in writing and faxed to +1 (415) 947-6011 along with payment information for the difference in value.

Important Payment By Check Information

If you selected payment by check, please be aware that all check payments must be received by the Registration Department no later than Friday, August 6, 2010 in order to apply the payment to your registration. If you are unable to meet this deadline, please pay by credit card by accessing your registration as a returning user and follow the prompts to pay with a credit card.

Program Changes

UBM TechWeb, producers of the GDC Europe, reserve the right to make changes in the programs and speakers, or to cancel sessions if enrollment criteria are not met, or when conditions beyond its control prevail. All sessions are filled on a first-come, first-seated basis. Arrive early to ensure a seat! Recording devices and cameras, still or video, are prohibited.

Value Added Tax (VAT)

What is Value Added Tax (VAT)?
VAT is a consumption tax levied on goods and services in many countries around the world. The national tax systems of Europe, Canada, Japan and Australia allow for a refund of VAT to most non-resident business entities, worldwide. In some instances, registration for VAT is required by the local country law in order to get a refund. Registration must be done prior to the business event.

Who is entitled to a VAT refund?
Most business entities around the world will qualify for a refund. However, the VAT refund rules will vary from country to country. Please check with your local country's polices and company regarding VAT refund. You also refer to your GDC Europe Registration receipt as your proof of VAT payment.

Can a private person qualify for a VAT refund?
Non-EU resident tourists can, in most cases apply for a refund of the VAT paid on gifts and merchandise bought for export out of the country. The refund should be requested at the last port before departure from the EU. Tourists are not entitled to a refund of the VAT incurred on services, such as hotel and car rental. This refund opportunity is available to the company only.

Children At The Show

Due to safety concerns, no one under the age of 18 (including infants in strollers) will be permitted on the show floor at any time during the Game Developers Conference Europe.

Student Pass Qualifications

GDC Europe encourages the future game developers across Europe to attend our conference. In order to qualify for the GDC Europe Student Pass, you may elect to purchase a Student Pass online but will have to present your student credentials onsite at registration. Your proof of student credentials must be current as of the date of the event (working towards a degree from a credited institution but not yet graduated before August 31, 2010).

Proof of academic credentials may include 1) Student ID Card 2) Written letter of proof of enrollment from your school or academic institution on your organizations letterhead.

Should you fail to present proper credentials onsite at the GDC Europe registration desk, you will not be given a pass to GDC Europe at the student rate.

*GDC Europe reserves the right to deny Student Passes to anyone onsite as well as close off registration for students in advance of the event.

When submitting a wire transfer/bank transfer, please include your registration invoice number from your unpaid and pending registration, the conference name as well as the registrant's name in the reference field of the wire transfer.
